Privacy Policy
Effective date: March 23, 2026. This policy explains how FluidVox collects, uses, and protects information when you use our website and app.

1. Scope
This policy applies to FluidVox products, websites, and support channels. It does not apply to external websites, apps, or services that you access through links or integrations.
2. Information We Collect
Depending on how you use FluidVox, we may collect:
- Account data, such as name, email, and subscription status.
- Support and waitlist data, including messages, email address, and platform interest selections.
- Technical and diagnostic data, such as app version, device type, and crash/performance logs.
- A one-way hashed device identifier used for device registration, trial abuse prevention, and subscription enforcement across platforms.
- Voice/audio snippets and transcript text processed to provide dictation features.
- Payment and billing data processed by our payment provider.
- Product usage events and device metadata collected through analytics tools.
- Email address used for transactional and product communications via our email provider.
- Website browsing data collected through cookies and analytics scripts on fluidvox.com.
3. How Transcript Data Is Handled
Your voice and transcribed text are processed in real-time and never stored on our servers. Audio is discarded immediately after processing — no recordings are kept. Transcript history exists only on your device and is never uploaded or accessible to FluidVox.
To provide speech-to-text features, audio may be transmitted securely to processing providers during active requests. Once the request completes, no audio or text is retained.
4. Service Infrastructure
We use third-party service providers in the following categories to operate FluidVox:
- Speech-to-text providers — for real-time and batch audio transcription.
- AI language model providers — for text cleanup, style formatting, and correction validation.
- Authentication and database providers — for account management, login, and usage tracking.
- Payment processors — for subscription billing and payment handling.
- Email delivery providers — for transactional emails (welcome, verification) and product communications.
- Analytics providers — for product usage metrics (see Section 6).
We send only the minimum data needed to process your active request. We have contractual agreements with our providers that include data protection obligations. Audio and transcript content is not retained by transcription or AI providers beyond a limited abuse-monitoring window (up to 55 days), during which it is used solely for policy enforcement and is not used for model training. We have opted out of all voluntary model improvement programs.
For device registration, FluidVox uses a hashed device identifier and a generic platform label. We do not store raw hardware serial numbers in our app database.

5. How We Use Information
We use information to:
- Deliver dictation, correction, and account functionality.
- Provide customer support and respond to product requests.
- Maintain security, prevent abuse, and troubleshoot reliability issues.
- Communicate product updates, including platform launch notifications when you opt in.
6. Analytics
FluidVox collects product usage data — such as app launches, transcription events (count only, no content), subscription status, and device metadata (operating system, app version, device type) — to improve the product and understand how features are used. This data is sent to a third-party analytics provider.
We also use website analytics to understand visitor behavior on fluidvox.com.
No transcript content, audio, or conversation data is ever included in analytics. Email addresses and basic device information may be associated with analytics profiles for support and product improvement purposes.
7. Data Retention
We retain account, billing, and support records for as long as needed to operate the service and meet legal obligations. Waitlist and marketing preferences are retained until you unsubscribe or request deletion.
Because transcript history is local-first, your dictated transcript content is primarily controlled from your own device environment.
8. Security
We use reasonable safeguards, including encrypted data transfer and access controls, to protect information in transit and in our systems.
No system is completely risk-free. You are responsible for securing your own devices, accounts, and local data backups.
9. Your Choices and Rights
You can request access, correction, or deletion of account-level personal information by contacting us.
- You may opt out of non-essential product emails at any time.
- We do not sell personal information.
10. Children's Privacy
FluidVox is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
11. Changes to This Policy
We may update this policy as the product evolves. If we make material changes, we will update the effective date and publish the revised policy on this page.
